Bean There, Done That: The Café Survival Guide

Been There, Done That, Cafe Story Guide

I don’t always drink coffee but when I do, I get it from my favourite local café. It’s only been around for a few years and is conveniently located on my way to work. One morning, I found it too cold, so I thought I’d start the day with a hot cuppa. I got there only to be dismayed, it wasn’t there anymore.

While some cafés have been around for a long time, industry researchers found that the estimated average lifespan of a café in Sydney can vary materially depending on location, economic conditions and competition.  There has been a steady increase in the market for coffee, and along with that is the number of cafés popping up on every corner, which makes it even more difficult for them to compete and survive.

I am in no position to provide my opinion on coffee as a non-avid coffee drinker. However, as a Business Advisor, I’ve personally encountered numerous stories about the rise and fall of cafés. My professional take on this is that running a successful café business requires a combination of good planning, effective management, and a focus on customer satisfaction.

Here are some key things that cafe business owners should know and do to secure a successful business:

Develop a clear business plan

A well-defined business plan is essential for identifying your target market, setting realistic goals, and developing effective strategies to achieve them. It should cover key elements such as the menu, pricing strategy, marketing approach, staffing needs, and financial projections. Location is also a critical factor. Cafés and coffee shops thrive in areas with high foot traffic and convenient access, so this should be a central consideration in your planning.

Focus on quality and consistency

Consistency in food quality, service, and overall experience is essential for building a loyal customer base. Investing in high-quality ingredients and equipment, along with thorough staff training, helps ensure a consistently positive experience. High-quality food and drinks catering to dietary preferences, such as vegan or gluten-free options, can broaden the appeal. A carefully curated menu often performs better than an overly extensive one, making it easier to maintain quality and streamline operations.

Manage finances

Accurate record-keeping of income and expenses is essential for effective financial management. Regular reviews of financial statements help identify trends and guide necessary budget adjustments. Keeping expenses under control, negotiating favourable terms with suppliers, and maintaining healthy cash flow are all key practices for sustaining a profitable operation.

Build a strong team

Staff can make or break a café business. It is important to hire employees who are skilled, reliable, and committed to delivering excellent customer service. Ongoing training and development programs help staff improve their skills and stay engaged. Friendly and knowledgeable service plays a significant role in building customer loyalty. Small gestures such as remembering a customer’s name or how they take their coffee can leave a lasting impression and encourage repeat visits.

Build a strong team

Technology can streamline operations, improve efficiency, and enhance the overall customer experience. Tools such as online ordering systems, loyalty programs, and social media platforms can help attract new customers and retain existing ones by offering convenience and engagement.

Equipment and Maintenance

Investing in reliable equipment and maintaining it regularly is essential to avoid operational disruptions. In a highly competitive industry, something as simple as a coffee machine failure can result in a permanent loss of customers to a nearby competitor.

Stay up-to-date with trends

The café industry is constantly evolving, making it important to stay up-to-date with the latest trends and innovations. Staying informed can help maintain competitiveness and attract new customers. Attending industry events, reading relevant publications, and networking with other café owners are all valuable ways to keep informed. Additionally, overall economic conditions and consumer spending habits should guide business decisions.

By following these guidelines, cafe business owners can increase their chances of running a successful business. However, it’s important to remember that success requires hard work, dedication, and ongoing effort.

Of course, this story isn’t really about coffee. It is about the need for planning regardless of business size. Even the smallest business requires some level of planning. Concepts such as business plans, quality, and service apply across all industries and ventures.
